Milan SWO Privacy Notice

Here at Milan, we take your privacy very seriously and will only use your personal information to administer your account and provide services you have requested from us in line with the General Data Protection regulation (GPDR) 2018. 

The categories of older people information that we collect, hold and share include:

  • Personal Information (such as name, date of birth and address)

  • Special categories of personal data (such as ethnicity, language, nationality, medical information, dietary requirements)

  • Attendance Information (such as sessions attended, number of absences and absence reasons) 

  • Alternative services statistics

  • Client Care Plan and communication log sheet

 

The categories of carer information that we collect, hold and share include: 

  • Personal Information (such as name, date of birth and address)

  • Special categories of personal data (such as ethnicity, language, nationality, medical information, carer role, and other support received

  • Attendance Information (such as sessions attended) 

 

Why we collect and use information:

We use Client’s data:

  • To support Client time at Day Care Centre/Alternative services/Carers support services and to seek support according to individual needs

  • To assess the quality of our services

  • To comply with the law regarding data sharing 

  • To comply with Care Inspectorate Guidelines 

  • To administer client’s account

 

Storing Client Data:

  • We hold data for 3 years from the date the client leaves our Day Care Centre

  • Serious (reportable) accidents reports are kept until 7 years

  • Safeguarding records are kept until 7 years

  • Information/advice case work notes are held for 7 years  

 

Who we share Client Information with:

  • Our local authority

  • Care Inspectorate (as required by law) 

  • NHS (test and protect) or as required by law 

  • VOCAL and various other partner organisations we work with 

  • Funders - using anonymised data only or we might share photographs with your permission

 

  • Access to your information: 

You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all your personal information, you can email admin@milanswc.org  or write to Milan Senior Welfare Organisation, 411 Gilmerton Road, Edinburgh, EH17 7JJ  

Privacy policy updates:

This privacy policy is subject to regular review and is detailed on our annual membership forms. If we make substantial changes to this privacy policy, we will notify you through written correspondence.
